What a good cold email subject line looks like

A cold email subject line is not a headline. Its only job is to get the email opened without setting off the "this is a sales email" alarm. Write it casually, the way a friend would. The subject lines behind positive replies in Scoutreach campaigns share four traits:

  • Short. 1 to 5 words, under 40 characters, so the full line shows on a phone.
  • Plain. Lowercase or sentence case, no exclamation marks, no emoji.
  • Relevant. It hints at them or the topic: their name, their company, or the thing you can help with.
  • Honest. No fake "Re:" or "Fwd:" on a first email. Save "Re:" for real follow-ups in the same thread.

Patterns to avoid

  • "Checking in" or "Touching base" on a first email: there is nothing to check in on yet.
  • Benefit headlines like "Unlock 3X More Pipeline This Quarter": too long and too salesy.
  • Fake replies like "Re: our call": they get opened once and burn trust for good.
  • Spam triggers like "free", "guaranteed" and "limited time". Check the full email body with the spam word checker.

A great subject line only gets the open. The first line and the ask get the reply. Once your subject is ready, run the whole email through the cold email checker, or start from one of the cold email templates.

Frequently asked questions

How long should a cold email subject line be?

1 to 5 words and under 40 characters. Short subject lines show in full on mobile and look like a friend wrote them, not a marketing tool. Anything over 6 words starts to read like a headline.

Should cold email subject lines be lowercase?

Lowercase usually works best. People write personal emails that way, so it blends into the inbox. Title Case and all caps make a subject look like a newsletter or promotion.

Is "quick question" a good cold email subject line?

Yes, as long as the email behind it is short and relevant. In Scoutreach campaign data, "quick question" is one of the most replied-to first-touch subjects, alongside "idea" and "{{firstName}}, quick one". It works because it is casual and looks like a real one-to-one email. Just make sure the body actually asks one quick question.

Should I put the prospect's name in the subject line?

It can work well. "{{firstName}}, quick one" is one of the top subject lines in Scoutreach's positive-reply data, because it reads like a personal note. Their company name plus a topic is another strong option. Avoid stacking both into a long, mail-merged headline.

Can a subject line send my cold email to spam?

It can contribute. Spam-trigger words, all caps, exclamation marks and fake "Re:" prefixes all add risk. The bigger factors are domain reputation, sending volume, links and authentication, but a clean subject line removes one easy reason to filter you.
